Once the design concept for your new office has been finalized, a General Contractor (GC) has been selected, and their contract is signed, construction can officially begin!
The GC will start by developing a comprehensive project schedule, identifying a target move-in date for your company. This schedule outlines key phases of the project with clearly defined milestones, giving you and your team a practical way to track progress. We recommend building in a few days of “buffer” time to help absorb any unexpected delays. Internally, it’s also wise to plan for the possibility that your move-in date may shift. As the saying goes: better safe than sorry.
Depending on the scope of services in your Architect’s contract, their level of involvement during construction can vary. Some architects are deeply engaged throughout, while others only step in when requested. Their role and responsibilities during construction are typically outlined in the Construction Management or Construction Administration section of their agreement.
At Interplan, our Construction Management services typically consist, at minimum, of being on-site for review of Chalk Layouts, Ceiling Close-In, and Punch List:
Chalk Layouts involve actual chalk markings on the floor, ceiling, and walls, indicating the locations of new construction elements. These walkthroughs allow the Client, GC, and Architect to visualize and confirm the layout before work progresses.
Ceiling Close-In occurs mid-construction and offers an opportunity to review above-ceiling systems—like HVAC, electrical, plumbing, and fire protection—before they’re enclosed.
Punch List reviews happen once all parties agree that the project is substantially complete. During this walkthrough, outstanding tasks or deficiencies are documented through physical markings and written notes, which are compiled and distributed to all parties to clarify what’s needed for final completion.
When requested, Interplan also provides support throughout the submittal review process and in responding to Requests for Information (RFIs). During the submittal process, the GC submits samples of the materials and products they intend to use for approval by the Architect. Approval confirms that the selections meet design intent, project requirements, and the specifications outlined in the construction documents.
RFIs are typically submitted early in the Preconstruction phase by contractors or others who need clarification on construction-related details. These written questions help resolve uncertainties, and answers are often shared broadly with the project team to ensure consistency. In some cases, the Construction Drawings may be revised to incorporate these clarifications. The RFI process is especially important during bidding, as it ensures all parties are pricing based on the same understanding, creating an “even playing field.”
The level of Construction Management support Interplan provides can be adjusted based on our Client’s needs and the makeup of the project team. Other professionals involved may include: an Independent Construction or Project Manager (independently contracted by the Client, or provided by the property owner/manager), a Move Coordinator, or any other consultant overseeing the project process.
Regular status meetings help keep everyone aligned throughout the construction process. These meetings typically include the Client (or their representative), GC, Architect, Building or Property Manager, Move Coordinator, and other hired ancillary vendors. As construction progresses, others may join—such as Furniture Dealers, Voice/Data Contractors, Signage Vendors, and Security System providers—to coordinate final installation needs in the days leading up to occupancy.
Ultimately, every team member shares the same goal: to deliver a successful project that stays on schedule and within budget. Achieving that requires clear communication, proactive monitoring, and a collaborative, solutions-focused mindset.
